Black Writers Reunion & Conference invites you to become an Exhibitor at the 2012 Writers Conference at the Westin Fort Lauderdale Beach Resort & Spa. Exhibitors have an opportunity to support BWRC’s educational programs and community service in exchange for exposure to hundreds of conference attendees, speakers, volunteers and curious hotel guests in addition to thousands of visitors to the Blackwriters.org website, where Exhibitors also receive recognition.
Exhibitor space will be made available during the 2012 BWRC on Thursday and Friday, August 30th & 31st, between the hours of 9 a.m. and 7:30 p.m. Slots are offered first to BWRC workshop presenters and then made available on a first-come, first-served basis to other exhibitors with writer-related products or services that are in keeping with the character of the BWRC. Exhibit tables are available for use by authors and vendors (publishers, companies, service providers, etc.) who wish to display materials to conference participants.
Each exhibitor is provided with exhibit space of one or one-half of a six-foot, skirted display table with one chair for $60 for one-half day or $120 for all day rental. Popup signs and display cards must fit within your allotted space. Nothing can be affixed to the walls. Valuables should be secured overnight (in your own hotel room. BWRC staff will not be responsible for securing, “watching,” storing or shipping any exhibitor’s property.
To ensure optimal placement for all exhibitors affording excellent traffic and interaction with attendees, we utilize the prefunction area located just outside the meeting rooms. Availability is limited to no more than 24 exhibitors at a time.
Space is NOT guaranteed until confirmed. In the event your exhibitor application is not approved, you will receive an immediate full refund of all fees paid.

SPACE: Each exhibitor is provided exhibit space of one-half of an eight-foot, skirted display table with one chair per exhibitor. BWRC cannot rearrange tables nor accommodate individual preferences for location or additional spacing. Authors will be seated by genre during the Author Expo.
SET-UP: Exhibitors may set up during the 30 minutes before their scheduled slot. Exhibitors are responsible for their own equipment, supplies, products, and property. Security will not be provided. Exhibitors are expected to dispose of any trash and remove all property or items used (water glasses, etc.).
APPROVAL: BWRC reserves the right to decline or prohibit any exhibitor which in its judgment is not in keeping with the character of BWRC. Acceptance of exhibitor applications does not constitute BWRC’s automatic endorsement or approval of a sponsor’s products or services, and the exhibitor agrees to not communicate an intended endorsement or approval.
HOURS: Exhibitors agree to do business only during posted hours and to not engage in any disruptive activities including unloading and/or movement of merchandise into or through the exhibitor area outside designated times; packing and unpacking of merchandise outside areas leased to the exhibitor; excessive noise; or any other activity deemed to be disruptive to other exhibitors or not in the best interest of BWRC or its participants.
CONFIRMATION: Exhibitors will receive confirmation of reservation no later than July 1, 2012. Please notify us if your space has not been confirmed by July 1.
CANCELLATION & REFUND POLICY: No refunds will be given after July 31. Requests for refunds prior to that date must be made in writing. Fifteen percent (15%) of the amount paid will be nonrefundable to cover administrative and transaction costs. Contact us prior to August 8th with substitution requests.
